Enterprise Application Services · MS Access

Your business still runs on MS Access. The talent to maintain it is getting harder to find.

Softenger takes ownership of the MS Access applications your business depends on — stabilising and supporting them today, and modernizing or migrating them when it makes business sense.

Your operations stop depending on one person — or on a hire that isn’t coming.

The application behind a lot of businesses like yours

Three situations we hear before most MS Access engagements.

Different starting points, the same underlying problem: a business-critical application and no one it can reliably depend on to keep it running.

Situation 01

The hire that isn’t coming

The situation

The job advertisement for an Access and VBA developer has been open for months. The few candidates who apply want more than the role was budgeted for, or leave within the year.

What we do

We take over the application with an experienced team, so it is supported — and you stop recruiting for a skill the market has run short of.

Support in place, no hire required

One person who knows how it works

The situation

A single employee — often not a developer — understands what the application does and why. Nothing is written down, and nobody has planned for the day that person leaves.

What we do

We study the application — tables, forms, reports and code — and document both the technical design and the business workflows behind it. The knowledge stops living in one person’s head.

Technical and business design documented

The system nobody dares change

The situation

The business needs changes, but every change risks breaking something that runs daily operations. An Office or Windows update throws errors nobody can explain, so the application stays exactly as it is.

What we do

We stabilise the application first, then make changes against a documented understanding of how it works — and advise whether it should be kept, modernised or migrated.

Stabilise first, change second

MS Access was never just a database. That is why it is so hard to replace the people who built on it.

For two decades, MS Access let a business build its own software. Data, forms, reports and business logic lived in a single application shaped exactly to how the company worked — built by someone in-house who knew both the business and VBA.

Those applications became the way the business runs: inventory, orders, production tracking, quality records, reporting. The platform stayed. The people who built it moved on or retired, and the skill to maintain what they left behind has become scarce and expensive to hire in the US.

The developers who built it have gone

Retired, moved roles or left the company. What they knew about the application went with them.

ORIGINAL BUILDERS ON STAFF: 0
The knowledge left with them

The skill is scarce — and costly when you find it

Experienced Access and VBA developers are a shrinking pool. Recruiting one takes months; keeping one is harder.

Nothing is documented

Not the code, the data structure, nor the business rules. Users know what the application does, but not why it was built that way.

.
What it does is known. Why is not

Updates break it

Moving to a newer version of Windows or Office surfaces 32-bit and 64-bit compatibility errors in code nobody left can read.

It is connected to more than anyone has mapped

Shared network files, other applications, external websites. Change one piece and something else stops working.

.
Change one piece, another stops

So the business stops changing it

Every request is weighed against the risk of breaking daily operations. The application quietly becomes the limit on how the business can work.

The application becomes the limit

The developers who built it have gone expanded.

Decisions made without structured input cost more than advisory ever does.

Enterprise IT environments are complex enough that gut instinct — however experienced — isn’t sufficient for infrastructure, security, or cloud decisions. Mis-scoped migrations, under-designed DR plans, and compliance gaps that surface in audits rather than planning all share the same root cause: no structured advisory phase before committing to action.

Softenger’s advisory practice was built for exactly this gap. We operate as a working extension of your leadership team — not as external consultants who present findings and leave. Every advisory engagement is scoped to produce something the business can act on the week it’s delivered.

WITH SOFTENGER ADVISORY

What the engagement produces

  • A written brief with specific findings, risk ratings, and prioritised actions
  • Realistic cost and timeline baselines for every recommended path forward
  • Compliance posture mapped against current regulatory requirements
  • A governance framework your team can operate and audit continuously
WITHOUT ADVISORY

What typically goes wrong

  • Cloud migrations scoped without workload compatibility assessments
  • DR plans that fail their first real test due to untested recovery time assumptions
  • Compliance frameworks built reactively after an audit finding — not before
  • Infrastructure scaling decisions driven by vendor presentations, not usage analysis

Three paths for an MS Access estate. You choose the one that fits.

Every engagement starts with the same question: what does this application need to do for the business over the next three years? The answer decides the path — and it can change as the business does.

Support

Keep it running, as it is

For applications that work and should keep working. We take over support, maintenance and enhancement of the existing code base, fix what breaks, resolve compatibility issues, and document the application as we go.

Right for you if

The application does its job and the business has no reason to change platforms.

Application Management Services →
Modernize

Put it on firmer ground

For applications that are straining — slow, fragile, or outgrowing shared network files. We move the data from Access files into SQL Server and restructure the application so it is stable and maintainable, while the business keeps working the way it does today.CONFIRM · item 3

Right for you if

The application still fits the business, but it has become unreliable or has outgrown how it was built.

Application Modernization Services →
Migrate

Move it to a modern platform

For applications the business has outgrown. We refactor the application onto a newer technology stack, such as JavaCONFIRM · item 4, and move the data into SQL Server — with the documented understanding of the original application as the starting point, so business rules are carried across, not lost.

Right for you if

The business needs capabilities Access cannot provide, or the application has become a constraint on growth.

Every MS Access engagement follows the same four-phase discipline.

AOTS is how Softenger runs every engagement. Applied to an MS Access estate, it means nothing is changed before it is understood, and nothing is rebuilt unless the business case holds.

A O S T AOTS

Phase 01Advise

Discovery and assessment

  • Tables, forms, reports and VBA code studied end to end
  • Deployment, connected systems and real usage mapped
  • Condition assessment with a recommendation you can act on
Outcome

A clear answer: support, modernize or migrate — and why.

How we advise

Phase 02Optimize

Stabilise and document

  • What is breaking today gets resolved first
  • Technical design and business workflows written down
  • The right team put in place to own the application
Outcome

A stable application the business understands again.

How we optimize

Phase 03TransformOptional

Modernize or migrate — only where it makes sense

  • Data moved from Access files into SQL Server
  • Application modernized or refactored onto a newer stack
  • Skipped entirely where the assessment doesn’t support it
Outcome

A platform the business has a reason to be on.

How we transform

Phase 04Support

Ongoing ownership

  • Continuous support and maintenance, managed or T&M
  • Dedicated or shared resources, scaled to the work
  • 24×7 cover where the business needs it
Outcome

An application that stays supported, whoever comes and goes.

An inventory system built in 1997, and nobody left who understood it

The situation

A Los Angeles diamond merchant ran its inventory on an MS Access application built in-house in 1997 and still running on Access 2000. The employees who built and maintained it had left or retired. The application was throwing 32-bit and 64-bit operating system errors, there was no documentation at either the code or the business-workflow level, and it exchanged data with third-party diamond trading websites. The business could not make a single change to a system its daily operations depended on.

What Softenger did

Two senior MS Access developers studied the application in full — every table, form and report — and reconstructed how it was built: a multi-user design with the data on a shared network drive and the forms and reports on each user’s machine. They mapped the business workflows inside the application, tied them to how the diamond trade moves data between systems, and produced complete application-level documentation.

Two ways to engage. Clear boundaries on both.

Managed support

Softenger takes ownership of the application under an ongoing engagement — support, maintenance, enhancements and documentation, with continuity of the team guaranteed by us rather than by any one individual.

Time and material

Experienced MS Access resources working to your direction, dedicated or shared depending on the volume of work, for businesses that want to keep ownership in-house but need the skill.

Teams start from one or two people and scale with the work.

Delivered remotely. We do not provide onsite support.

Engagements run for a minimum of six months, or on an ongoing basis.

24×7 support can be set up where the business requires it.

Why businesses hand their MS Access applications to Softenger

Reason 01

A team, not a contractor

Continuity is Softenger’s responsibility, not one person’s. If someone on the team moves on, the application doesn’t notice.

Questions businesses ask before handing over an MS Access application

01Can you take over an MS Access application that was never documented?+
Yes — that is usually where we start. We study the application’s tables, forms, reports and code, reconstruct how it was built, and document both the technical design and the business workflows before we change anything.
02Do we have to migrate away from MS Access?+
No. If the application does its job and migration does not make business sense, we support it as it is. We will tell you if we think migration is worth it, and why — but the decision is yours.
03Why not just hire a freelance Access developer?+
You can, and for a short piece of work it may be enough. For an application your operations depend on, it replaces one person dependency with another. With Softenger, continuity is our responsibility, and what we learn is documented rather than held by an individual.
04Can you support us remotely from outside the US?+
Yes. Our engagements are delivered remotely, and we can set up 24×7 support where the business needs it. We do not provide onsite support.
05What happens to our application and data?+
Your application and data are handled under Softenger’s ISO 27001:2022 certified information security management. {{PLACEHOLDER: code and data ownership terms — sign-off item 5}}
06What is the minimum engagement?+
Engagements run for a minimum of six months or on an ongoing basis. Teams can start with one or two people and scale with the work.
07If we do migrate, what do you migrate to?+
We refactor the application onto a newer technology stack, such as Java, and move the data into SQL Server. {{PLACEHOLDER: whether .NET is also offered — sign-off item 4}}
08What happens on the first call?+
A 15 to 30 minute conversation about the challenges you are facing, what the application does, what documentation exists, who still understands the workflows, and what you need from a partner.

Tell us what your MS Access application does. We’ll tell you what it needs.
